This Privacy Policy explains how VioraAI (“Viora,” “we,” “us,” or “our”) handles personal information when you visit meetviora.com, request a demo, create an account, or use the VioraAI product and related services (the “Services”).

We also maintain a Security page describing technical and organizational controls, and Terms of Service that govern use of the Services.

2. Who this policy covers

This policy covers:

• Website and marketing visitors who browse pages, read content, or submit forms.
• Prospects and customers who book demos, create accounts, or operate the product.
• Users invited by a customer (for example property managers or leasing agents).

When a property management company uses Viora to process resident, prospect, or vendor information, that company typically decides why and how that information is processed. In those cases, Viora acts as a service provider / processor for the customer, and the customer’s own privacy notices also apply to affected individuals.

3. Information we collect

Information you provide

• Contact and profile details such as name, email, phone, company, role, and portfolio size.
• Demo, support, and sales communications.
• Account credentials and workspace settings.
• Content you submit into the product, including messages, notes, tasks, documents, and configuration data.

Information from your use of the Services

• Log and usage data such as pages viewed, feature usage, device/browser type, IP address, and timestamps.
• Approximate location derived from IP address.
• Diagnostics, performance, and security event data.

Information from integrations and partners

If you connect a property management system, email, messaging, storage, or other tool, we receive the data needed to operate that connection—subject to your configuration and the third party’s terms.

Cookies and similar technologies

We use cookies and similar technologies for essential site function, preferences, analytics, and to understand how marketing pages perform. You can control cookies through your browser settings; disabling some cookies may affect site functionality.

4. How we use information

We use information to:

We do not sell personal information.

5. AI processing

Viora uses AI models to power agents that communicate, summarize, route work, and assist with property workflows. Prompts and context may include Customer Content needed to complete a task.

• Customer content is used to operate the product for that customer.
• We do not use customer content to train public foundation models.
• Model and infrastructure providers process data under contracts that include confidentiality and processing restrictions.
• Customers should avoid submitting data they are not authorized to process, and should use human review for sensitive actions.

6. How we share information

We may share information with:

• Service providers that help us with hosting, infrastructure, analytics, communications, customer support, and security—under confidentiality and processing obligations.
• Integration partners you choose to connect, to the extent needed for that integration.
• Professional advisors such as lawyers or auditors when needed.
• Authorities when required by law, legal process, or to protect rights, safety, and security.
• Business transfers in connection with a merger, financing, or acquisition, subject to appropriate safeguards.

We may also share aggregated or de-identified information that does not reasonably identify a person.

7. Retention

We retain information for as long as needed to provide the Services, meet contractual and legal obligations, resolve disputes, and maintain security. Retention periods vary by data type and customer configuration. When a customer relationship ends, we follow documented export and deletion workflows described in our commercial terms and security practices.

8. Security

9. Your choices and rights

Depending on your location and relationship with us, you may have rights to:

• Access, correct, or delete personal information we hold about you.
• Object to or restrict certain processing.
• Opt out of marketing emails (service messages may still be sent).
• Request information about how we process and share personal information.

10. Children

The Services are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided information to us, contact us and we will take appropriate steps.

11. International transfers

We may process information in the United States and other countries where we or our providers operate. Where required, we use appropriate transfer safeguards for cross-border processing.

We may update this Privacy Policy from time to time. The “Last updated” date will change when we do. Material changes will be posted on this page, and we may provide additional notice when appropriate.
